JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: Under the direction of an assigned supervisor, the Administrative Aide serves as subject-matter expert for the procurement, financial transactions, and provides administrative, clerical, and bookkeeping support for faculty, research staff, graduate student, postdoctoral fellows, and department business managers with the College of Pharmacy.


Responsibilities
  1. Provides administrative support, i.e., assists with university policy guidelines, maintains files, payables, inventory, and enters data into Oracle, order supplies.
  2. Prepares travel requests and processes travel expenses; prepares purchase requisitions, asset numbers, NCJs; internal transfers, organizational memberships, conference registrations, and subscriptions.
  3. Reviews and reconciles monthly ledgers for accounts.
  4. Prepares invoices paid on department procurement card to include packing slips, order forms, and invoices.
  5. Prepares internal transfer vouchers.
  6. Assist in providing monthly expenditure and other reports to faculty, securing faculty signatures after their review and approval.
  7. Prepares contracts for goods and services.
  8. Ensures identified issues are resolved and follows up with facilities maintenance.
  9. Assists with equipment inventory, space surveys, self-assessment reports; and creates correspondence as required.
  10. Facilitate the graduate program for the College of Pharmacy.
  11. Performs other duties as assigned.

Qualifications
MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Two (2) years of administrative support experience; OR an Associate's Degree in lieu of experience.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Excellent interpersonal skills that facilitate effective relationships with faculty, staff, students and constituents of the college.
  • Ability to multi-task and meet deadlines; ability to initiate tasks and work independently of supervision.
  • Strong computer skills, including knowledge of Word, Excel, Adobe; Oracle proficiency or willingness to learn Oracle.
  • Excellent written and oral communication skills enabling interactions with groups of faculty, staff and students.
