Administrative Assistant I-Workforce & Economic Development - Bunker Hill Community College

Provide administrative and clerical support to the ECET Center staff, Dean, Associate Dean and Senior Director of Workforce and Economic Development, including but not limited to maintaining program files and records, and documentation of budgetary requests. Deal tactfully and confidentially with student and employer questions and problems, and refer students and employers to appropriate college resources. Register Students into Elevate SMS and provide workshop support when necessary. Manage and update databases, collection of data, adherence to reporting requirements for funders and College reporting. Assist the coordinator with administrative duties as assigned.
Responsibilities:
- Provide coverage for the front desk of the ECET Center/Chelsea Workforce Department, including answering phones, helping students, answering community education and training email inbox messages.
- Assist in registering students using elevate, making sure all student data entered is completely entered.
- Assist in data reporting and providing support with reporting for grants and employer partnerships.
- Assist students with accessing their course schedules and providing information on gathering books and accessing shuttle schedule.
- Ordering supplies and helping staff locate supplies, including books for grant programs and employer partnerships.
- Pull Rosters for ECET/Workforce classes and send to the instructors, in addition to inputting course grades and sending out instructor contracts using Adobe Sign.
- Preparing conference room and classrooms for meetings and guests.
- Supporting facilities needs by putting in work orders, following up on work orders and classroom set ups.
- Working with Webex, Zoom or Teams.
- Provide support to Dean, Associate Dean and Senior Director of Workforce.
- Assist as needed to other divisional staff.
- Assist with processing and submitting reimbursements and vendor contracts/payments.
- Maintain knowledge of student's rights and privacy under FERPA.
- Other duties as assigned.
Job Requirements:
- Two years of full-time or equivalent part-time experience in office, business development, retail or similar administrative work; five years of full-time experience preferred.
- Experience with standard office practices; proficiency with Microsoft Office Suite; attention to detail; ability to communicate effectively, both orally and in writing in English; excellent organizational, interpersonal and customer-service skills.
- Knowledge of, and experience with, payroll systems, HR and other clerical systems.
- Microsoft Office Suite certification and / or AS/AA Degree or progress toward a degree preferred.
- Spanish/ other language skills preferred.
Additional Information:
Salary: $2,068.95 bi-weekly/ $53,792.70 annual.
Grade 15. Full Time Benefited Position. This position is grant funding position through June 30, 2026.
Shift: M- Friday 8:30-4:30, or 9am-5pm, hybrid, work location: Chelsea Campus, on site and telecommuting will be determined with supervisor.
