Job Description
The Tickle College of Engineering (TCE) at the University of Tennessee, Knoxville (UTK), is seeking an Administrative Associate interested in working in a team environment supporting staff in Kao Innovation Collaboration Studio (ICS).

Reporting to the Administrative Services Manager in the Office of the Dean for the Tickle College of Engineering, the Administrative Associate will serve as administrative support for the Tickle College of Engineering (TCE) Kao Innovation Collaboration Studio (ICS) and is the first point of contact for students, university staff and faculty, external constituents, and campus visitors; as well as general administrative support for the operation of all internal office functions. The position performs complex duties and assignments and provides direct support to the ICS/Integrated Engineering Design (ISD) staff. This person interprets policies, procedures, regulations, and rules and assists students in understanding these requirements. All duties and responsibilities are completed with minimal oversight or supervision.


Responsibilities
  • Responsible for all purchasing activities within Integrated Engineering Design
  • Administrative support for ICS including monitoring departmental email, calendars, websites, etc.
  • Coordinates staff training activities
  • ICS/IED travel support
  • Coordinates with TCE communications to create marketing materials
  • Assists with tours and preparing teaching and learning activities in the Kao ICS
  • Maintains Kao ICS conference room readiness & supplies
  • Events coordination and support including Senior Design Showcase and Order of the Engineer

Qualifications
Required Qualifications

Education:
  • High school diploma

Experience:
  • One to three administrative or office experience
  • Or associate's degree & one year of administrative or office experience.
  • Experience gained as a student, volunteer or professional will be considered.

Knowledge, Skills, Abilities:
  • Ability to work independently and as a member of a team, and maintain confidentiality
  • Ability to take initiative and work proactively
  • Excellent written and verbal communication skills
  • Exemplary organizational skills and keen attention to detail
  • Must be able to multi-task
  • Proficient in Microsoft Office 365, MS Teams, Acrobat, and survey applications such as Qualtrics, Survey Money, etc.
  • Ability to interact with a diverse group of individuals
  • Good customer service skills
  • Flexible and adaptable, especially with new technologies and office processes
  • Dependable
  • Knowledge of general expense reporting policies
  • Professional in attitude and appearance

Preferred Qualifications

Education:
  • Bachelor's degree in business, human resources, or related field

Experience:
  • Experience in higher education
  • Certified Administrative Professional certification
  • experience in a technical environment, and/or experience working with students

Knowledge, Skills, Abilities:
  • Working knowledge of UT policies & procedures and UT software such as DASH, Banner, and Canvas
  • Experience with Microsoft Power Apps and Adobe Suite (InDesign, Illustrator, Photoshop)
  • Knowledge of appropriate safety practices; Interest in learning & using design studio equipment

Compensation and Benefits
  • UT market range: MR05
  • Anticipated hiring range: $42-$45k / year
