The Administrative Coordinator of Student Services plays a key role in managing the daily operations of the Student Services Office and providing administrative support to the Directors of Student Services. This position serves as a primary point of contact for student inquiries and office coordination, while also supporting student engagement initiatives, recruitment and yield efforts, and student communications. The Administrative Coordinator works independently on day-to-day tasks, exercises sound judgment in office operations, and collaborates closely with internal and external stakeholders to ensure the seamless execution of programs, events, and communications that support student success and enhance the student experience.
The Administrative Coordinator will be a highly organized and proactive professional with an understanding of university policies, practices, and procedures, and the ability to apply fundamental concepts in a dynamic student services environment. They will demonstrate strong problem-solving skills, identifying and addressing issues independently while also collaborating effectively as a contributing team member.
This is a full-time position with access to the University's comprehensive benefits plan. The Administrative Coordinator will maintain a 4/1 hybrid work modality and will have an office on BU's Charles River Campus.
Essential Functions:
Office Management (50%)
- Monitor and respond to general inquiries and requests from phone and office email inbox (whestu@bu.edu) on a daily basis.
- Coordinate training, supervision, and schedules of Office work-study employees.
- Complete requests for supplies, equipment, and events.
- Assist Directors of Student Services in working with MarCom to monitor and update the Wheelock website and to create and support community engagement via social media.
- Manage and support the budget tracking and spending in student services.
- Take detailed notes and manage the office's operational calendar.
Student Engagement (25%)
- Assist the Directors of Student Services with student groups' functions and events (e.g., Dean's Hosts, Transitional Mentor Program, Student Government meetings, and affinity groups).
- Request University services for Student Services-sponsored events and meetings, obtaining approval signatures and forwarding requests to the appropriate University office or purchasing agent, and maintaining files of these documents originating from the Office of Student Services.
- Liaise with other College units (e.g., Events and Alumni Engagement), as appropriate, to support college-wide events (e.g., commencement).
Recruitment & Yield (10%)
- Represent the college on student services committees at the University level and report back to the Office.
- Collaborate with Director of UG Student Services and Office of Orientation to plan events (Orientation, Open House, Accepted Student Visits) by completing requisitions, preparing for the events, and facilitating an organized event.
- Gather student and prospective student information and collaborate with college/university units on communications such as, but not limited to flyers, postcards, and event information.
- Support anti-melt initiatives with undergrad and graduate students.
Office Communications (10%)
- Disseminate regular communications to current students regarding upcoming college/university deadlines, events, professional development/employment opportunities, student/faculty achievements, etc.
Other duties as assigned (5%)
- Contribute to special projects, initiatives, and administrative tasks that support the evolving needs of the Student Services Office and BU Wheelock, including cross-functional collaboration, process improvements, and other assignments consistent with the scope and objectives of this role.
Required Skills
- Bachelor's degree or equivalent relevant experience.
- Proven ability to manage office operations.
- Strong written and oral communication skills.
- Flexibility, adaptability, and agility.
- Experience supporting event planning, data entry, or managing shared inboxes.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
Preferred Qualifications:
- Prior work experience in higher education is a plus.
- An understanding of the lifecycle of student records.
- Prior experience with BU's software stack including Concur and Ariba is a plus.
Work Modality: This position follows a hybrid work schedule, with four days onsite at BU Wheelock and one remote day per week.
Compensation: The salary range for this position is $45,000 - $51,000 annually. This range is based on factors such as experience, qualifications, and the overall scope of the role. Please note that the final salary offered may vary depending on these factors.
