Job Description
The Academic Advisor provides advising, assistance, and encouragement for current and prospective undergraduate students in the College of Engineering and Computer Science. The Academic Advisor is responsible for assisting students in understanding their degree requirements so they can make informed decisions within their curriculum and graduate in a timely manner. This position assists current, new, transfer, and prospective students in navigating the curriculum of their program of study. The Academic Advisor monitors the impact that current or new curriculum, schedules, policies, and procedures have on students' progression within their program of study. This position assists the college with recruitment efforts and outreach activities.
Responsibilities
Advising Students
Advisors review current students' progress and alert them to any potential issues. They acclimatize new, transfer, and readmitted students to the UTC curriculum, policies, and processes. Advisors work with students on selecting or changing majors or minors and make referrals to an "exploring majors" advisor when appropriate. They facilitate students transferring to and from UTC and recommend the most efficient and practical course of action to reach graduation. During fall and spring semester orientations, including weekends, advisors provide guidance to large groups. They also advise students on program changes, probation or suspension procedures, appeal processes, satisfactory academic progress appeals, GPA projection, and grade replacement.
Advisors act as liaisons between students and other university personnel and aim to improve students' academic planning skills. They collaborate with graduation specialists to assist with verifying preparation for timely graduation and recommend solutions to academic difficulties. Advisors help students use university policies to protect their academic status, including the use of petitions, course withdrawals, late withdrawals, academic forgiveness, and transfer equivalence. They act as intermediaries between students and department heads or other departments to resolve student issues, create action plans for GPA improvement, and map out graduation plans. When needed, they facilitate communication between students and faculty or department heads to resolve problems. Advisors refer students to or collaborate with appropriate personnel or departments for assistance with academic or personal issues, including but not limited to the Office of International Studies, Disability Resource Center, Office of Veterans Affairs, Athletics, Records Office, Financial Aid Office, ROTC, Honors College, Career Counseling Services, Student Health Services, and the Mocs One Center.
In support of the accelerated graduate program, advisors serve on working groups in coordination with CECS graduate program staff to enhance processes and provide support. They coordinate with academic departments for the annual review of accelerated graduate program clear paths and contribute to the development of new clear paths in cases of additional programs. Advisors provide support to interested and eligible students after intake, including through transfer orientation sessions and individual advising meetings for current students. These sessions outline program parameters via the development of individualized accelerated graduate clear paths. Advisors also guide accelerated graduate program students throughout their undergraduate years and ensure a smooth hand-off to faculty advisors after the attainment of the bachelor's degree, or earlier if graduate-level advising is needed during the undergraduate tenure.
Administrative and Clerical Responsibilities
Advisors serve on college and campus-wide committees as requested and develop both hard copy and electronic advising materials, such as prerequisite sheets, path sheets, and email notifications. They assist with refreshing and training faculty on advising processes and curriculum changes and circulate student petitions among various college department heads. Communication with students is maintained through email, voicemail, and other methods. Advisors verify students' fulfillment of current prerequisites and monitor waiting lists for closed classes. They process student petitions and assist with changes of major, graduation applications, and similar processes. They also plan and revise new student orientation advisement sessions and related materials. Advisors coordinate with department faculty to ensure the presence of faculty advisors during orientation sessions for new and transfer students. Additionally, they support Memoranda of Understanding (MOU) development in collaboration with academic departments, contribute to the annual review of transfer clear paths for existing MOUs, and assist in the semi-annual development of new clear paths for pending MOU affiliates in coordination with the Dean's Office. Ongoing support of MOUs is provided throughout the academic year as time permits.
The ideal candidate will possess the following:
- Knowledge of all program requirements and understands the structure, process, and procedure practices at UTC
- Ability to recognize, support, and reinforce individual needs and learning styles using conceptual understanding, reasoning skills, and college-level standards
- Outstanding verbal and written communication skills
- Ability to understand and abide by federal and university guidelines regarding students

Qualifications
Minimum Qualifications: Bachelor's degree; 2 years of experience in academic advising within Higher Education.
Preferred Qualifications: Master's degree; BANNER experience; experience in academic advising within higher education in the fields of computer science or engineering.
